Printer Connectivity: USB, Ethernet, Wi-Fi Direct, and Mobile Printing

Connectivity decides two things about a printer: who in the house can print to it, and how often somebody has to go and fix it. Those are usually more important day to day than pages per minute. The interfaces are simple enough individually, but the spec fields on a listing mix them up constantly, so it is worth knowing what each one actually provides before you read any product page.

USB: one computer, one cable

A USB printer is a peripheral of a single machine. Whatever is plugged into it can print, and nothing else can. That is a limitation and also a feature: there is no network configuration to get wrong, no address to change, and no wireless connection to drop mid job. The Brother HL-L5000D lists USB as its hardware interface with one USB 2.0 port, which is a straightforward arrangement for a machine sitting next to one desktop.

The same listing also carries an app control method and lists PCs as its compatible devices, which is the sort of pairing that should make you check the manufacturer page before assuming phone control is available. Where the specification table and the model designation disagree, the model designation is usually the more reliable half.

Ethernet: the one that keeps working

A wired network connection makes the printer a device on your network rather than an accessory of one computer. Every machine on that network can reach it, the address is stable, and nothing about it depends on radio conditions. It is the least glamorous option and the one that generates the fewest support conversations.

Business machines lean on it heavily. Brother describes gigabit Ethernet alongside wireless on the MFC-L8900CDW, and HP puts built in Ethernet into the model name of the LaserJet Pro M477fnw. Ink tank machines are split on it: the Epson EcoTank ET-3760 lists both Ethernet and USB and Epson describes wired and wireless connectivity, while the EcoTank ET-2720 lists USB as its hardware interface with wireless printing from tablets and smartphones described separately. If a printer will live in a cupboard or a corner and you can get a cable to it, take the cable.

Wi-Fi and Wi-Fi Direct are not the same thing

Ordinary Wi-Fi puts the printer on your existing network, the same way Ethernet does, without the cable. Everything on the network can reach it, and it can also reach the internet for firmware and cloud scanning.

Wi-Fi Direct is a different mechanism. The printer creates its own peer to peer connection and the phone or laptop joins the printer itself, with no router involved. That is genuinely useful when there is no network to join, when the network is locked down, or when a guest needs to print once without being given the Wi-Fi password. Xerox names built in Wi-Fi with Wi-Fi Direct on the B315, alongside Ethernet and USB 2.0 in the hardware interface field, which is about as complete as a small office machine gets.

The catch is worth stating plainly: while a phone is joined to the printer directly, it is not on your normal Wi-Fi, so anything that needs the internet at that moment falls back to cellular data or waits. Wi-Fi Direct is a way in, not a way to run a household printer permanently.

Mobile printing: the standards behind the buttons

Printing from a phone comes down to three named systems and one open standard beneath them.

  • AirPrint is Apple’s driverless printing. The device finds the printer on the local network and prints without you installing anything. The Rollo X1040 lists AirPrint from iPhone, iPad and Mac alongside support for Windows, Chromebook, Android and Linux.
  • Mopria Print Service is the Android equivalent, and Xerox names it on the B315 along with Chromebook printing.
  • Vendor apps add scanning, supply levels and setup. Xerox describes an Easy Assist app that walks through Wi-Fi setup on the C410, which is listed with Ethernet and USB as standard and Wi-Fi as optional.
  • IPP Everywhere is the open standard that driverless printing generally rests on, which is why a printer that supports one of the above often quietly supports the others.

Reading connectivity fields without being misled

The imported specification tables on printer listings are noisy, and connectivity is where the noise concentrates. Three patterns come up repeatedly.

The first is a hardware interface field that lists only part of the story. The HP LaserJet Pro M426fdw shows USB 2.0 as its hardware interface and two USB ports, while its own product name describes an all in one wireless printer. Both statements can be reconciled, but only the model name tells you the wireless part exists.

The second is a description block belonging to a different model. The Xerox B230 is a black and white laser, yet the descriptive text on its listing discusses the color C230 and that model’s wireless behavior. Anything about connectivity in that block describes a different machine, so it should not be used to decide whether the B230 suits your network.

The third is a port count that cannot be right. The C410 listing reports two Ethernet ports and four USB ports on a compact office printer. Counts like that are import artifacts rather than features, and the safe reading is one of each unless the manufacturer page says otherwise.

Choosing without regretting it

Decide where the printer will physically live first, because that determines everything else. A printer beside the desk can be USB and never trouble you. A printer in a hallway cupboard wants Ethernet if a cable can reach and Wi-Fi if it cannot. A household with phones and tablets in it wants a machine that names AirPrint or Mopria explicitly rather than one that only promises an app. And if more than one person prints, skip USB entirely, because sharing a USB printer through a computer means that computer has to be awake.

Most of the networked office machines discussed here sit in the laser printer category, while the bottle fed machines are in the ink tank printer category. In both cases, read the model designation and the manufacturer description together, and treat the imported spec table as the least reliable of the three.
