Laser vs Inkjet for a Home Office: What Each One Actually Costs to Run

The number printed on the box is the smallest number in this decision. Across three or four years a home office usually spends more on toner, ink and drums than on the machine that consumes them, and the two printing technologies bill you in very different rhythms. Here is what separates laser from inkjet, what a product listing does and does not tell you about running cost, and the questions worth asking before you commit to a consumable line.

What each technology is doing

A laser printer charges a photosensitive drum, dusts it with dry toner powder, transfers that powder to paper and fuses it with heat. Nothing is wet and nothing evaporates, so the page leaves the machine dry and the supply sitting inside does not dry out between jobs. That is why laser hardware quotes steady throughput. Brother rates the HL-L5000D at up to 42 pages per minute in monochrome with a 250 sheet tray, automatic two sided printing and 512 MB of memory for holding large jobs. Worth flagging: the same listing tags that machine as a multifunction and lists a scan function, which does not match a print only model designation, so treat those two fields with suspicion.

An inkjet fires liquid ink through a nozzle array. That buys better color and photo behavior for less hardware money, a much lighter body and low idle power. The Epson EcoTank ET-2720 listing quotes 13 watts and the WorkForce Pro WF-4820 quotes 18 watts, against 640 watts on the Brother laser above. The catch is physical: ink is a liquid sitting in fine nozzles, and nozzles left unused for weeks can clog and trigger a cleaning cycle that spends ink on nothing.

Where the money actually goes

Laser running cost is a page yield problem. A toner cartridge carries an approximate page rating at a standard coverage, and that rating is the number you divide the cartridge price by. HP rates the HP 26A at 3,100 pages and states it works with the LaserJet Pro M402 series and the LaserJet Pro MFP M426 series. Brother sells the TN660 as a two pack rated at roughly 2,600 pages per cartridge. Those are the honest inputs to a cost per page estimate, and note that they are per cartridge, not per box.

There is a second laser consumable that catches people out. Color laser machines usually carry a separate drum or imaging unit with its own service life. The Brother MFC-L8900CDW listing spells it out: the box includes standard yield toner rated at 3,000 pages black and 1,800 pages color, plus a DR431CL drum unit rated at approximately 30,000 pages. The drum is a real line item even though it is not the part you replace every month.

Inkjet splits into two very different money models, and that split matters more than the brand on the lid. A cartridge machine such as the Epson WorkForce Pro WF-4820 ships with a set of DURABrite Ultra pigment cartridges and is refilled with more cartridges. A supertank machine such as the EcoTank ET-2720 or the EcoTank ET-3760 ships with bottles that you pour into fixed tanks. Epson states that an ET-3760 replacement bottle set covers up to 7,500 black and 6,000 color pages, and puts the cost as low as one cent per color ISO page against twenty cents with cartridges. Those are Epson’s own figures under the ISO test pattern, and real coverage moves them.

Matching the technology to the work

If the job is text, look at mono laser

Households that print school forms, shipping paperwork, tax documents and contracts are printing black text on plain paper, which is exactly what a mono laser is built for. Brother lists the MFC-L2700DW at up to 27 pages per minute with a 250 sheet tray, an automatic document feeder rated up to 35 sheets, automatic duplex and a choice of wireless or Ethernet. The Xerox B230 covers similar ground in a print only body, though its listing carries an obvious data problem: the description text on the page actually describes the color C230 model, and a color resolution field on a black and white machine should be read as import noise rather than a feature.

If you need copy and scan too

The Xerox B315 listing quotes up to 42 pages per minute, a 50 sheet automatic document feeder, a 250 sheet standard tray and a recommended monthly volume of up to 2,500 pages. That last figure is the one people skip and it is among the most useful numbers on the page, because a duty cycle tells you what the manufacturer expects the machine to absorb. Note that this listing contradicts itself on duplex, marking two sided printing as no in one field while the description text describes automatic two sided printing on letter and legal paper.

If you print color and photos at home

This is where supertank inkjet earns its keep. The ET-2720 ships with 65 mL bottles of 522 ink in black, cyan, magenta and yellow and takes 100 sheets; the ET-3760 steps up to 502 ink with a 127 mL black bottle, a 150 sheet tray, a 30 sheet feeder and both Ethernet and wireless. Two caveats belong in the same breath. Bottle ink is keyed to the brand and the machine, so you are buying into one supply chain for the life of the printer. And the ET-3760 listing gives its own weight as 4.2 ounces, which is plainly wrong for a machine of that size, so do not treat every field on a listing as checked.

The idle problem

The single most useful question is how often you actually print. A laser that sits for a month prints normally on the next power up, because toner is a dry powder. An inkjet that sits for a month may need a cleaning cycle first, and on a cartridge machine that ink comes out of cartridges you paid for. If your household prints in bursts a few times a year, that pattern argues for laser regardless of how good the color samples look.

Reading the listing before you commit

  • Find the page yield of the replacement supply, not the one in the box. Starter capacity supplies are common and are usually rated lower.
  • Check whether the drum or imaging unit is separate, and what it is rated for.
  • Compare quoted speeds carefully. The WF-4820 spec table shows 40 pages per minute while Epson’s own description gives 25 black and 12 color ISO pages per minute, which are not the same measurement.
  • Look for a recommended monthly volume. It is a better fit signal than peak speed.
  • Decide whether you can live inside one brand’s supply line, because bottles and chipped cartridges are not interchangeable.
